Fresh QR shift planning is a weekly planner inside the attendance system. Managers drag reusable shift templates onto employees, one branch or project at a time, and publish the week. Employees see their shifts in the Fresh QR mobile app, and published shifts define the expected hours, breaks and overtime rules in the reports.

Create your shift templates

Name, start and end (overnight is fine), colour, work position. Set the break, rounding and overtime rules once. Scope a template to one branch or make it available everywhere.

Drag shifts onto the grid

Drop a template on an employee-day, move chips around, or copy last week and adjust. Coverage requirements show where a day is still short. Vacations and pending absences sit right in the cell.

Publish the week

One click. Employees see the week in the mobile app, and from now on the attendance reports measure worked time against these shifts. Need a change later? Editing the published week opens a new draft automatically.

Drag and drop planning

Drag a template into a cell to create a shift, drag a chip to another person or day to move it. Time and length travel with it.

Drafts and published versions

Work in a named draft as long as you like. Publishing archives the previous version. Employees only ever see published weeks.

Copy a week

Reuse any earlier week as the starting point. People who already have a shift on a day are left untouched, so copying never overwrites.

Coverage requirements and gaps

Say how many people you need in each time window, per weekday and optionally per position. The grid tells you "2 gaps" or "fully covered" for every day.

Absences inside the grid

Approved and pending absences show on the day. Approve or decline a pending request without leaving the planner. Planning over an absence is allowed, with a warning.

Export to PDF and Excel

A landscape A4 PDF with the grid, weekly totals and coverage strip for the notice board, or an Excel file for whoever still wants a spreadsheet.

The schedule lives where your team already clocks in

No second app, no group-chat screenshot. The Fresh QR app your employees scan with gets a My Shifts card and a two-week schedule as soon as they open it after you publish.

  • Today and next shift on the home screen — time and branch, one glance.
  • This week and next — colour-coded days, planned hours per week, and a day detail with the branch, break and your note to them.
  • Requests before you plan — "I want to work" or "Prefer not to work" on any free day. They land in your planner as cards you place or dismiss.
  • Swap board — an employee offers a shift to anyone or to a named colleague with the same position. When a colleague takes it, both schedules update immediately. No overlapping shifts, no absence days.

Planned shifts and real scans, side by side

This is the part a standalone scheduling app cannot do. From the day you switch the module on, published shifts replace standard schedules as the expected working time in your reports. The template's break, rounding and overtime rules apply to those days automatically.

Click any employee-day cell in the planner to see worked versus planned time, the raw scans, what rounding did to them, breaks, absences and overtime. No second export, no matching two spreadsheets.

Shift planning is an optional module on top of your attendance subscription, billed separately from the per-employee attendance price. You switch it on yourself under My Company → Extra services, and off the same way. No new logins, no separate app for your team.

Honest part: what it does not do (yet)

It is a first version, and we would rather list the gaps here than let you find them in the trial. There is no automatic scheduling: you place every shift, with copy-week as the shortcut. The planner does not check rest time between shifts or weekly maximums for you. Employees are not pushed a notification when you publish; they open the app and it is there. There is only a week view, and exports are PDF and Excel, not calendar subscriptions. Planning happens on a desktop or tablet browser, not on a phone. We are actively working on the planner: improvements land every few weeks and show up on the What's new page as they ship.

Shift planning — frequently asked questions

Yes. In the mobile app an employee offers a future shift to anyone or to a named colleague. Only colleagues with the same work position can take it, and the app refuses a take that would overlap their own shift or fall on an absence day. When a colleague takes it, both schedules update immediately and the change is visible in your planner. There is no manager approval step, so agree the house rules with your team first.
From the day you enable the module, published shifts become the expected working time in reports for the employees you plan. Days without a published shift count as zero expected hours, so any work on them shows as overtime. Standard schedules and personal work time are ignored from that date, and the company settings page shows a banner saying so. Switch the module off and the old rules apply again.
Yes. A template whose end time is earlier than its start time (22:00 to 06:00, for example) is treated as ending the next day. The shift sits on the day it starts, and the attendance reports handle the overnight scans and overtime correctly.
You plan one branch or one project at a time. Every company has at least a main branch, so a single-site business simply plans there. If you track projects in Fresh QR, each project gets its own weekly grid too, and a template can be limited to one of them or shared across all.

The web planner and the employee app are available in English, Slovak, Czech and Ukrainian. An employee's app follows their own phone language, so a mixed team sees the same published schedule, each person in their own language.
